4.0 Extract Specification Menu

The Extract Specification Menu screen shown in Figure 4.1 appears after a database is selected. This screen, the same for all databases, allows the user to setup a new data extract file or select an existing one.

4.1 Naming a File

When the function Extract Specification File is activated, a box named File appears that allows the user to carry out an operation on a file. The user can modify (or append to) an existing file, create a new blank file, or create a new file that contains the contents of an existing file.

The first file operation that must be carried out after software installation is to create a New File. Once files have been created and saved, they may be modified.

The name of the current working file appears in the Save File box.

4.1.1 New File

When the New file operation is activated, the screen shown in Figure 6 appears from which the user must specify a name for a new file.

There is no need to specify a file extension.

When the new filename has been specified, the user will be returned to the previous screen (shown in Figure 4.1) and the name of the New File will appear in the Save File box.

TIPS
  • Press <Esc> to cancel an operation, close the screen, and return to the previous screen.
  • To rename an existing file, use the "New from old" operation in Figure 4.1.

 

4.1.2 Modify

An existing extract specification file may be modified by adding variables to or deleting them from the file.

To modify an existing file,

When <Enter> is pressed a screen similar to Figure 7 will appear.

In the Existing Specifications File box,

The newly selected file name will appear in the Save File box in Figure 4.1. Now use one of the other functions on the Main Menu to add or delete variables in the file.

4.1.3 New from Old

If New from old is chosen in Figure 4.1, a screen similar to Figure 7 will appear that lists all extract specification files for selection.

To create a new file from an 'old' one, the old file name must be selected. To select it,

After <Enter> is pressed, the box entitled Enter a New Extract Specification File Name... shown in Figure 4.4 will appear.

After <Enter> is pressed, the user will be returned to the Main Menu screen (Figure 4.1). The new file will be created with the same variables as the old one, and the new file name will appear in the Save File box.
