Entering Manager-Survey Questions

The sample Manager-Survey questions are discussed in this section. Each question will be illustrated with a coding frame, a Manager record, and, if applicable, a Survey screen. There are two general classes of questions in the Manager Survey programs. One is Data-Entry the other is a Machine-Operation. Data-Entry questions are encountered by the interviewer and respondent and, generally, gather responses. Machine-Operation questions are detected by the computer but not the interviewer. They perform checks that execute skip instructions or manipulate data in a variety of ways. Machine Operations aid in the creation of a robust, sophisticated instrument. In the sample Manager-Survey questions discussed below, Machine Operation questions will not have an accompanying Survey image.

Detailed information about each question type (QType) and the fields in the question record can be found in Chapter 8 - Reference. Fields in the Manager record that have a drop-down menu () are filled in by selecting an item from the drop-down list. Other fields are filled in by typing in the field.

DEMO-1 Dummy Record

You said earlier that you were a member of a performance club or group. We are now going to ask you specific information about that club or group.

The coding frame for question 1 contains the new Question "name" DEMO-1 and the question type, QType "Dummy Record" along with the original text. A Dummy Question collects no datum but is used to introduce a concept, explain what is about to happen, and/or impart information to the respondent. Because a dummy question collects no response, the next logical question in the sequence is the subsequent question, Default Next Question.

The figure below displays the Manager record for question DEMO-1. The fields highlighted in bold in the figure above, Question, QType, NextQ are filled in with the appropriate information. In addition, three other fields are filled in: RecPos, Section, and Help. Both RecPos and Section are mandatory fields; Help is optional. RecPos is a number that orders the position of the record in the file. The contents of the Section field group questions within an instrument. The Help field may contain the name of a help record linked to the question record. The interviewer can access this record by pressing the <F1>Help key.

The figure below displays DEMO-1 in the Survey. According to OSU CAPI conventions the interviewer would read the question text to the respondent and press the <Enter> key on the keyboard (or press the Continue button if the mouse function is activated).

The Question name, DEMO-1, assigned in the Manager appears on the screen as does the contents of the Section field, "Chapter 7 - Quick Start, Sample Questions." The question Text appears in a shaded box. The clock can either appear in red or green. If it is green, it means that the interview is proceeding in data-gathering mode. If it is red it means that the interview is in review mode and the interviewer is reviewing previous questions and responses. __?? The question mark shows the interviewer that Help is available for the question. The interviewer may access help by pressing the <F1> key on the laptop keyboard.

Other function key information is displayed along the bottom of the screen. The interviewer must press a key on the keyboard to activate the corresponding function. The nine items displayed across the bottom of the screen are NOT buttons that can be pressed on the screen.

The Continue button displayed in red means the interviewer can advance to the next screen by pressing it. In subsequent questions that require data entry, the Continue button will not appear in red until all the data is entered and <Enter> is pressed.

The coding frame for DEMO-2 shows a Select Option question type with several additional fields in bold: the Mark and Pick List fields are mandatory. The Select Option question type gathers one or more responses that are picked from a list. The Pick List field identifies a list of choices by name; the Mark field determines how many responses may be picked and what "value" (number or text) is stored in the symbol field, if used. An optional field the SaveSym field, shown in the figure below, may be used to retain the response for later manipulation in another question. For example, see question DEMO-5 below.

The figure to the right displays the Manager record for question DEMO-2. The fields highlighted in bold in the figure above are filled in. In addition, the Format and Length fields contain information. The Manager supplies the value in the Format field when the QType is selected. The designer must supply the length. For a Select Option question the response(s) is always recorded as an integer. A length of 2 allows a pick list to have up to 99 entries. The Mark field signals that one or more responses should be picked from a list and, if the SaveSym field is used, what form of the response is retained there. The SaveSym field contains the name of the symbol that retains the response.

Mark Field Options

The options available for the Mark field are displayed in the accompanying figure and discussed in detail in Chapter 8 - Reference, Fields in a Question Record, "Mark."

Save Text and Save Value indicate that only one response may be selected in the list and that either the text or value of the response will be stored in the SaveSym location, if the field is used.

Mark All That Apply allows for more than one response to be selected. No symbol is used in the SaveSym field. The question's response(s) selected from the list will always be stored as a value(s) and can be detected by referring to the question as [DEMO-2]. Use of the EXPAND keyword code command will retrieve the textual descriptions. Special characters are used to designate the responses to questions and the contents of symbols see, Chapter 8 - Reference, Keyword Codes question type, "Special Characters." Briefly, a response to a question may be referred to as [question_name]; and the contents of symbols as %symbol_name%.

The three Verbatim options repeats the above choices of the Select Option but allows the interviewer to enter the respondent's response word-for-word. When one of the verbatim options is selected the Survey program will automatically display a verbatim text entry box with the Pick List. The Save Text and Save Value options allow the use of a symbol in the SaveSym field.

The unique name in the Pick List field identifies a list of choices. It is used as the record name for the list and placed in the Pick List field of the Manager to create a link that the Survey program can display in combination with the question record. To place it in the Manager field, use the drop-down menu () to select the name.

The Pick List record needs to be created before its name will appear in the Manager's drop-down menu (). It can be created by using the Design tab, Pick Lists button or "on-the-fly" by placing the cursor over the label Pick List in the Manager record and left-clicking the mouse. Three choices will appear in a pop-up menu shown above. Select the "Display All" option and the pick list database file will appear. To create a new record, press the button in the Navigation Bar and a blank record will appear.

The figure to the right shows the pick list, Clubs, for DEMO-2. It is identified by a unique name, Clubs, and may contain an Explanation and Header to further document the record. The Description field will be displayed in the Survey and its corresponding Value will be recorded as the response. (According to the above Manager record, the "text" in the Description field will be stored in the symbol "club-type.")

The Seq (sequence) field determines the order in which the options (descriptions) are displayed by the Survey program. AudioFile may contain the unique name of the recorded audio file and Language identifies which language file the options belong to.

The figure to the right displays the Survey screen for question DEMO-2. The pick list specified in the Manager's Pick List field is displayed below the question's text.

To make a selection the interviewer must use the keyboard's arrow keys to move the highlight to the appropriate response and press <Enter>. When <Enter> is pressed, the Continue button will turn red and the interviewer must press <Enter> again to advance to the next screen.
